Privacy Policy – September 2025

 

  1. I am a provider of L&D Consultancy, Mental Health First Aid (MHFA) and coaching services to individuals and organisations within the UK, Europe and globally. I can be contacted at polly@elevarelearning.co.uk on 07951591009 or at 6 Cherry Green Barns, SG99NQ

  2. In the course of providing these services I may collect and process information that is commonly known as “personal data”. This policy explains what kind of information I collect, how I collect, use, share, retain and safeguard personal data; and sets out an individual’s rights to know what data is held about them, how this data is processed and how they can place restrictions on the use of your data.

  3. For the purposes of this policy, personal data is information relating to an identified or identifiable natural person. Examples include an individual’s name, age, address, date of birth, gender and contact details, information relating to religious or political beliefs, sexual orientation or criminal convictions. Most of the personal information I process is provided directly by you for one of the following reasons:

    1. Providing instructions

    2. Organising meetings/training

    3. As part of a pitch process

    4. During the provision of services

  4. In the normal course of conducting these services, I would take and store noteswithin my own IT system. During coaching assignments, I generally do not take written notes, I may however still collect and process personal data about individual clients. A client may, for example, provide me with personal data when contacting me to discuss services, when booking a coaching session, or by email or phone, or video call.

  5. They may also provide personal data during an introductory coaching session, or during a face to face or online coaching session which may be recorded (with the client’s consent) by video or audio for the purposes of my continuing professional development.

  6. In this way I may collect and process data such as an individual’s name, their  employer’s name, business name, mail address, Skype/ Teams contact details, mobile phone number, home address, business address and other contact details.

  7. I need this personal data to be able to offer, quote for, provide, invoice and seek feedback for services.

  8. If an individual contacts me to enquire about services or to discuss providing coaching to themselves or others, or I deliver services to them, I may contact that individual in the future to provide them with information about future services that may offer.

  9. In respect of client data relating to L&D consultancy work, I may hold data relating to client instructions for a period of seven years after completion of the assignment. This seven-year period referred to above will start from the last contact I had with the client, third party or supplier.

  10. I have in place appropriate security measures to prevent an individual’s personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Access to an individual’s personal data is limited to me.

  11. In the event of an actual or suspected security breach or data leak I will notify all individuals whose personal data I hold as soon as I am aware.

  12. I will retain personal data only for as long as necessary to fulfil the purposes for which I collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements. In determining the appropriate retention period for personal data, I consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of the personal data, the purposes for which I process such personal data and whether I can achieve those purposes through other means.

  13. Individuals are provided with legal rights governing the use of their personal data. These grant individuals the right to understand what personal data relating to them is held, for what purpose, how it is collected and used, with whom it is shared, where it is located, to object to its processing, to have the data corrected if inaccurate, to take copies of the data and to place restrictions on its processing. Individuals can also request the deletion of their personal data.

  14. Individuals can exercise their Individual Rights at any time. I will generally not charge a fee to process these requests, unless a request is considered to be repetitive, wholly unfounded and/or excessive, in which case I will charge a reasonable administration fee.

  15. I may be required by law to grant access to personal data, in which case I will do so only to the extent required by law.
